Lease Mail Merge (Leases)
Creating a Lease Mail Merge for one Tenant at a Time
Propertyware offers you the flexibility of generating a mail merge directly from a lease within the Leases Tab. This means that users in your account may maneuver between the Lease Summary Pages of your various leases and readily initiate a mail merge for one tenant at a time, whether using a customized mail merge template or a default mail merge template provided by Propertyware.

As an alternative to generating a mail merge for one tenant at a time from the Leases Tab, users may generate a mail merge for multiple tenants at a time from the Reports Tab of the application. |
To Generate a Mail Merge from a Lease:
Click on the Leases Tab of the application.
Using Search or the Lease Navigator located on the left sidebar of the page, locate the lease of your choice .
From the retrieved search results, select the desired lease. Depending on how you ran your search in Step 2, your search results will display either on a Search Results page or within the Lease Navigator Menu.
Once the desired lease is selected, the page will refresh to display the Lease's Summary Page.

Click the Mail Merge button at the top of the page. Alternatively you may select the Mail Merge option from the Related Activities menu that appears on left sidebar of the page.
The page will then refresh to display Propertyware's Lease Mail Merge, illustrated below:

From the Select Template scroll bar menu, select the mail merge template of your choice.
To preview a template, click on the Preview link from the preview pane to the right of the scroll bar.

From the Statement Template Options, use the displayed calendar icons to select the following:
Statement Date - The date as set by user when running the mail merge. This date may be set to the present date or any past or future date.
Due Date - The date set by user when running the mail merge. This field is available as a merge field in any Lease Mail Merge Template.
Statement Period Start Date - The start date parameter used to determine which transactions appear on your mail merged statement. Transactions that occurred before this start date will not display on your mail merged statement.
Statement Period End Date - The end date parameter used to determine which transactions appear on your mail merged statement. Transactions that occurred, or will occur, after this end date will not display on your mail merged statement. Together, the Period Start and End Dates determine which transactions appear upon mail merge.
Click the Generate Document button. The document will merge with relevant lease data and generate in Adobe Acrobat PDF to ensure secure, dependable electronic information change once distributed to the mail merged recipient.
To save the document to your computer, select the Save As option from the File menu on your browser. Be sure to save the document to a location you can easily relocate, such as a folder in My Documents (Windows) or Documents (Mac). Once saved, you may email the document to the appropriate mail merge recipient.
To print the document, click the Printer option from the File menu on your browser. Once printed, you may send the document to the appropriate mail merge recipient.
