Recording Tenant Payments (Leases)
Once you have created a lease, you may begin recording tenant payments received for any charge from the lease's corresponding Tenant Ledger. You can also view the entire history of a tenant's payments and charges here as well.

As an alternative to recording tenant payments from the Tenant Ledger -- which limits you to record single payments for one tenant at a time -- you can also use Propertyware's Quick Collect feature to record multiple payments for multiple tenants at a time. |
To Record a Tenant Payment from a Lease's Tenant Ledger:
Use Search or the Lease Navigator to locate the lease.
Click the Tenant Ledger button on the Sub-Navigation Bar.
Click the Record Payment Received button above the Tenant Ledger table. The following pop-up window appears; this is where you can record a tenant payment: \

Enter the Payment Type. Choose from the following payment types:
Check
Credit Card
Cash
Cashiers Check
Money Order
Section 8
Public Assistance
ePay (Note: this payment type only appears if ePayments have been enabled within your account).
Other
Enter theDate the payment was received.
Enter a Reference Number for the payment received (i.e., check number or money order number).
Select an open bank deposit from the drop down menu. If you don't yet know which Open Bank Deposit to choose, you may deposit the payment to Undeposited and later add it to an open bank deposit from the Payments To Deposit section of the Money In tab.
Enter any Comments for the payment, if necessary.
Next, apply the payment received to one or more of the unpaid charges on the account; to do this, select the Unpaid Charges to be covered.
Click the checkbox in the "Paid?" column to pay the entire charge. The Current Payment field will then automatically populate with the Amount Due. If multiple unpaid charges displays within the window, these charges may also be paid in full by selecting their associated "Paid?" checkbox.
You can also allocate a portion of the tenant payment received toward an unpaid charge; to do this, manually enter the amount in the appropriate Current Payment field.
In the Payment Summary section below, the Amount Received will populate with the sum total of the amounts you entered in the Current Payment fields.
If you want to change the payment data, click the Clear Payment link in the bottom left hand corner of the window and reenter the information.
If you enter an amount in the Amount Received field without applying it toward any unpaid charges, you create a Prepayment.
Once you click the Save button, your newly recorded tenant payment appears on the tenant ledger as an Undeposited Payment. The Undeposited Payment status will change to a Deposited Payment status once you close the Bank Deposit that includes the payment. To view the details of a recorded tenant payment, including Payment Type, Payment Date, Reference #, Closed Bank Deposit, and Covered Charges, click the View link within the Undeposited Payment line item.
