Recording Tenant Payments (Quick Collect)
Propertyware's Quick Collect, where the name speaks for itself, allows you to quickly record your Tenant Payments. The versatility of Propertyware's Quick Collect allows you to record multiple tenant payments of the same payment type (i.e., check, money order, etc.) and payment date, whether for one or more tenants, collectively in one instance.
To record Tenant Payments using Quick Collect:
Click the Money In tab from any page of the application.
Click the Quick Collect button from the subnavigation bar that appears immediately below the green Money In page header.
From the View By dropdown menu, select the Portfolio or Building for which you would like to record one or more tenant payments. The table will then refresh to display the Total Unpaid amounts for all active leases within the selected Portfolio or Building. To also display the Total Unpaid amounts for all terminated leases, select the Include Terminated Leases checkbox at the bottom of the table. For ease of identification, line items and charges associated with terminated leases will appear in a shaded purple row.

You may sort the items in this table by clicking the Building/Unit, Tenant, Prepayments, Total Unpaid and Payment links that appear as column headers.
To record a tenant payment, select the appropriate Payment Type, Payment Date and Deposit To values from the table's drop down menus. Note that you may simultaneously record one or more tenant payments at a time if they belong to the same selected parameters. To record tenant payments that do not belong to your selected parameters, simply change these parameters from their corresponding drop down menus. These parameters are more fully described as:
Payment Type - the form of payment in which the payment was received, typically, cash, check, money order or credit card.
Payment Date - the date the payment was received.
Deposit To - choose an open bank deposit if you are utilizing bank deposits, or select the bank account to record the payment as being deposited.
Quick Collect give you the option of recording:
Full Payment. If you have received the full amount displayed in the Total Unpaid column for a given lease, enter the Reference Number for the corresponding payment and click the Full button. This will record the tenant payment with the designated type, date, and bank deposit parameters you set above. Once recorded, the payment will be appear grayed out with a zero dollar amount and also be automatically be reflected on the lease's tenant ledger.
Partial Payment. Choose this option if the amount received DOES NOT EQUAL the amount displayed in the Total Unpaid column. Click the Partial button and a window will open where you can record the tenant payment in the same manner as you would on the tenant ledger.
To view the tenant ledger for any lease displayed in the table, click the associated tenant name link that appears in the Tenant Column.
Once you have completed the above steps, you may view your recorded tenant payments by clicking the Summary button that appears in the subnavigation bar, directly below the Money In page header, and then clicking the Tenant Payments subtab. From here, you may view, edit or delete a recorded tenant payment by selecting the View, Edit or Del link under the Action column for the selected payment's line item.

As an alternative to recording Tenant Payments in Quick Collect, you may also record tenant payments from a lease's Tenant Ledger. This option comes handy if you prefer to record payments for one tenant at a time from a view that exhibits the tenant's historical payments and charges, by date and description, due under the tenant's respective lease. |
