Buildings may be viewed from the Property Navigator menu, located within the Properties Tab of the application. To view a Building:

 

  1. Click the Properties Tab from any page of the application.

 

 

  1. Select a Building you wish to view from the Property Navigator menu on the left side bar. Use the "View By" Filter to refine the Property Navigator menu by Building. The menu will then refresh to display your Buildings, each identifiable by a blue building icon.

 

 

 

Buildings that have been deactivated may also be viewed here by selecting the Inactiveradio button.

 

 

  Note: Once you add Units to a Building, a plus sign will appear next to the Building icon which you may click on for a submenu of Units within that Building. Units, identifiable by a blue building icon with a single red door, should not be mistaken for Buildings.

 

 

  1. As an alternative to Step 2, you may search for the desired Building by name using the Search bar located at the top left corner of the page and clicking Go.

 

 

From your search results, click on the appropriate Building link from within the Properties selection window.

 

 

  1. Once you select your building, The page to the right of the Navigator menu will refresh and display a Building Summary Page for your selected Building. To view the Summary Page for a different Building, simply click another Building from within the Navigator menu or enter another Building name in the Search bar.

 

The Building Summary Page for the selected Building will display Building information within the following fields:

Field Name

Description

Address & Neighborhood

(Page Header)

The Building address and neighborhood (or district) will display up top in the page header, directly below the application's various tabs. Depending on whether the Building is a Multi-Unit Building or Rentable Building (see Multi-Unit Building field below), either "Multi-Unit" or "Vacant/Occupied" will appear as a background image within the page header.

Building Name/Number

The Building name (i.e., the building's street name or if a multi-unit Building, the name of the complex).

Building Type

The Building Type (i.e., apartment building or duplex) which will display on Propertyware Reports and the Building's Summary Page.

Multi-Unit

"Yes" indicates that the Building is a Multi-Unit Building, meaning it contains 2 or more units. "No" indicates that the Building is a Rentable Building, meaning it is a single rentable building which contains no units. In Propertyware, a Rentable Building (i.e., a single family home) may have one lease attached to it, whereas with a Multi-Unit Building (i.e., an apartment building), leases are attached directly to the individual units themselves rather than the Building.

Attached Portfolio(s)

If the building is a Multi-Unit Building, this field will list all portfolios that contain a Unit in the building. If the building is a Rentable Building, the portfolio containing the building will be shown.

Building Abbreviation

The abbreviated name assigned to the Building. The application automatically generates an abbreviation, taking the first 10 characters of the Building Name, which you may override.

Total Area

The total area of the Building, either in square feet or square meters. If the Building is a Rentable Building (see Multi-Unit Building field below), this field entry will appear on your Propertyware website when marketing the Rentable Building for rent.

Number of Floors

The number of floors in the Building.

Custom Fields

This field will only display if one or more Custom Fields were created for the Building.

Tenant Information

(Rentable Buildings Only)

This field will only display if the Building is a Rentable Building (see Multi-Unit Building field above). The Rentable Building will display the word Vacant if there is no active lease attached. If the Rentable Building is occupied, the following information about the current tenant will display, whose active lease may be viewed by clicking the View Lease button.

 

  • Primary Contact - the primary tenant contact under the Building lease.

  • Phone - the primary tenant contact's phone number.

  • Current Rent - the current rent payable under the Building lease.

  • Tenant Since - the Building lease start date, usually the same as the start date of the tenant occupancy.

  • Open Service Requests - the sum of all open service requests attached to the Building.

  • Open Work Orders - the sum of all open work orders attached to the Building.

Amenities

This field will only display if one ore more Amenities have been assigned to the Building. Available building amenities will display by name and code.

Property Managers

Your Property Manager will appear as the leasing contact for the Building, displayed by name, telephone number and email, on your Propertyware Website. When a prospective tenant submits an Online Guest Card from a rental listing on your website, an email notification will be automatically delivered to your Propertyware Manager. Click the arrow to expand and collapse this section.

Note: What if a Property Manager has not been designated for the Building? For purposes of designating a leasing contact on your Propertyware Website and delivering your team prospective tenant inquiries via the Online Guest Card, the application will, by default, assign and deliver these inquiries to the property manager assigned to the building's respective Portfolio.

Marketing Information

The Marketing Name and Description are the name and description of the Building as you would like them to appear on your Propertyware Website when marketing vacancies within the Building. Click the arrow to expand and collapse this section.

 

The following additional fields will only display if the Building is a Rentable Building (see Multi-Unit Building field above):

 

  • Target Rent - the market rent for the Building, expressed as a dollar amount per month, per square foot/month, per square foot/year, per square meter/month, or per square meter/year.

  • Available Date - the date which the Rentable Building is available for rent, and if currently occupied, the date when the Rentable Building is available for turnover to a new tenant.

  • Target Deposit - the required security deposit for new tenants, which typically cover move-in costs.

  • Other Tenant Charges - charges that the tenant is responsible for paying (i.e., utilities).

Maintenance Settings

The Maintenance Spending Limit set on the Building, either monthly or yearly, for maintenance bills created by work orders. If a spending limit has not been applied to the Building, the field will display a text entry of "no limit." If a spending limit has been applied, also displayed is how much of the limit has been spent on maintenance within the selected monthly or yearly period.

 

Notes

 

This category allows you to create and attach personal notes to the Building (i.e., personal notes the user would like to memorialize regarding the location of emergency shut-off valves within the Building).

 

Documents

 

This category allows you to upload and attach any number of documents (i.e., floor plans or drawing files) from your computer, limited to a file size of 6 Megabytes (MB) each, to the Building.

 

The bottom table on the Building Summary Page will display Valuation, Insurance and Mortgage information, Attached Leases, Notes and Documents for the selected Building:

Valuation

This tab provides the estimated valuation for the Building and available comparable sales, or comps, automatically generated from Zillow.com

Note: Why is no valuation retrieved for the Building? Zillow.com is an online real estate service for estimating home valuations and therefore, valuations will not appear for office or commercial Buildings. Furthermore, any estimated valuation retrieved  is dependent on the accuracy of the address entered for the residential Building (see Address fields above to verify correct address entry).

Insurance

This tab provides insurance information related to the Building, including carrier name, policy number and premium amount.

Mortgage

This tab provides mortgage information related to the Building, including borrower and lender contacts, interest rate, principal balance, monthly payment amount and more.

Attached Leases

This tab provides a history of all leases (both terminated and active)for the Building.

Note: No history of attached leases will appear for a Building until a lease is created.

Notes and Documents

This tab displays any notes (i.e., notes memorializing the location of emergency shut-off valves within the Building) or documents specific to the Building (i.e., floor plans, drawing files or any other document limited to a file size of 12 megabytes each).
