Creating Owner Contacts
Who is an Owner Contact?
Propertyware allows you to set up Owner Contacts, also known as the property owners of the buildings and units you manage, for each portfolio created within your account. This contact type affords particularly innovative functionality for users who manage properties for other owners. Set up as users rather than contacts, your various Owner Contacts may conveniently log into Propertyware for the purpose of generating owner reports and obtaining information concerning their portfolio and its performance. Only your Propertyware Administrator may create Owner Contacts, a high level privilege not relegated to other users.
To set an Owner Contact on an existing portfolio:
Search for the Owner's portfolio or click the Properties Tab from any page of the application.
From the Property Navigator menu located on the left side bar of the page, select a Portfolio for which you wish to create an Owner Contact. To simplify your search, use the "View By" Filter from within the Property Navigator menu to refine your search by Portfolio. All Portfolios will then display as menu items within the Property Navigator menu, each identifiable by name and a yellow portfolio icon.
Click on the appropriate portfolio name to view its detail page.
Click the Edit button at the top of the page.
Click on the blue arrow next to the Owner Contacts menu. The Owner Contacts section will then expand. From the scrolling menu, select the owner you intend to add as an Owner Contact.
If your intended owner does not appear as an option within the scrolling menu, click the New Owner button to create a new Owner Contact. Then enter the First Name, Last Name, Email, Work Phone, Address, City, State and Zip code for your new Owner Contact.
Click the Save button. This action will create a user account for the owner which will then need to be validated by your Propertyware Administrator.
To set an Owner Contact on a new portfolio:
Simply create a new portfolio and complete entries within the Owner Contacts menu. From the scrolling menu, select the intended owner.
If your intended owner does not appear as an option within the scrolling menu, click the New Owner button to create a new Owner Contact. Then enter the First Name, Last Name, Email, Work Phone, Address, City, State and Zip code for your new Owner Contact.
Click the Save button. This action will create a user account for the owner which will then need to be validated by your Propertyware Administrator.
Once an Owner Contact is set on a portfolio, your Propertyware Administrator must follow a few steps before the owner may log into your account:
Create a password for the owner by editing the contact's user account. If your Administrator opts to manually set a password, rather than prompt the application to auto generate one, the password must then be communicated to the owner. An auto generated password, on the other hand, is electronically distributed to the owner in the form of an email.
Assign the owner to a User Profile (i.e, an "Owner" Profile which may be customized by your Administrator).
Configure the owner's account with User Restrictions.
