Propertyware allows you to deactivate a Portfolio for owners that you no longer manage buildings and/or units for. Before you can deactivate a Portfolio, you will need to terminate all leases attached to the buildings and units in that Portfolio. A deactivated Portfolio and its related data will no longer appear in the application, except in the following places:

 

To Deactivate an Active Portfolio:

  1. Search for the Portfolio or click the Properties Tab from any page of the application.

  1. Select a Portfolio you wish to deactivate from the Property Navigator menu on the left side bar. To simplify your search, use the "View By" Filter from within the Property Navigator menu to refine your search by Portfolio. All Portfolios will then  display as menu items within the Property Navigator menu, each identifiable by name and a yellow portfolio icon within a shaded gray row.   

  2. Click on the appropriate portfolio name to view its detail.

  3. Select the Deactivate Portfolio option from the sidebar's Related Activities menu.

  4. A window will appear asking you to confirm the deactivation of the Portfolio and its included buildings and/or units. Click the Ok button to proceed.

  5. If you have terminated all active leases associated with the Portfolio you wish to deactivate, the Portfolio and all of its associated buildings and units will then delete.

  6. Once a portfolio has been deactivated, you can still view it by using the Property Navigator or search. You are also able to run reports on all deactivated portfolio.

 

Tip

Be sure to finish all of your business pertaining to the Portfolio before deactivating it (i.e. work orders, owner's statements, outstanding charges for leases, etc). Although Portfolios can be reactivated, completing your related management business before deactivating the Portfolio will save time.

 

 

To Reactivate a Deactivated Portfolio:

You will need to have enough units licensed in your subscription to reactivate any desired portfolios. Note that only your Propertyware Administrator may perform this action.

 

  1. Go to the Properties tab and click the Inactive filter on the Property Navigator located in the left sidebar of the page. Set the View By filter to Portfolio to display deactivated properties in the Navigator. All Portfolios are identifiable by name and a yellow portfolio icon within a shaded gray row.

  1. Select the Portfolio you wish to reactivate from the resulting list in Step 1.

 

 

  1. Click the red Reactivate button from the Portfolio Summary page.

  2. A window will appear asking you to confirm the reactivation of the Portfolio and its included buildings and/or units. Click the Ok button to proceed.

  3. Once a portfolio has been reactivated, you can view it by using the Property Navigator or search.
